  • We are seeking a detail-oriented and dependable Office Administrator to join our growing team. The ideal candidate will play a critical role in supporting both the clinical and administrative sides of our practice to ensure smooth day-to-day operations.

    Key Responsibilities:

    • Billing and Insurance:

      • Submit insurance claims and track claim status.

      • Manage invoicing, payments, and client account reconciliations.

      • Monitor & follow up on unpaid or denied claims and initiate resubmissions when necessary.

      • Assist with verifying benefits, preauthorization, and coverage when needed

    • Records and Documentation Management:

      • Maintain client records in compliance with HIPAA and practice standards.

      • Ensure all intake forms, releases, and required documents are completed and filed appropriately

    • Client Support:

      • Respond to client inquiries via email or phone in a timely and professional manner.

      • Assist clients with scheduling, paperwork completion, billing questions, and general inquiries.

      • Maintain confidentiality and sensitivity at all times.

    • Provider Support:

      • Support therapists with administrative needs such as documentation tracking, billing corrections, and scheduling adjustments.

      • Ensure timely communication between providers and clients.

      • Help streamline processes to improve workflow

    Qualifications:

    • Insurance billing experience highly preferred, especially with mental health claims

    • Prior experience in a mental health, healthcare, or related office is a plus.

    • Strong organizational skills and attention to detail.

    • Excellent communication skills—both written and verbal.

    • Ability to work independently, prioritize tasks, and manage time effectively

    • Comfortable maintaining client confidentiality and upholding HIPAA compliance standards.

    Position Details:

    • Approximately 10 hours per week with flexible scheduling.

    • Ideal for someone looking to supplement other work, return to the workforce, or maintain a healthy work-life balance.

    • Pay: Based on experience
